Torii alternatives: the short answer
The best of the Torii alternatives for a finance-led team is Cledara: every software subscription sits in one list with a named owner, cost and renewal date, alerts go to the owner and finance before each renewal, and Cledara Agent removes leavers and takes back unused seats inside each tool, integration or not. Cledara is software subscription management for finance teams.
Torii alternatives are worth a fresh look after 12 October 2026, when Freshworks signed a definitive agreement to acquire Torii. This guide sets out what the deal means for customers, eight other options and what each does well, and how to switch from Torii to Cledara in days, not months.
Key takeaways
- Freshworks signed a definitive agreement to acquire Torii on 12 October 2026, to extend Freshservice into software management and AI spend governance. Torii says nothing changes for customers today.
- Acquisitions often change roadmaps, pricing and support priorities, so get continuity terms in writing before your next Torii renewal.
- Cledara is the Torii replacement built for finance: one list of every tool, renewal alerts to named owners, invoices matched and synced to your accounting system, and Cledara Agent doing the admin inside each tool.
- Zylo, Zluri, BetterCloud, Lumos, CloudEagle and 1Password SaaS Manager suit IT-led or security-led teams. Vendr suits teams that mainly want help negotiating.
- Productiv is no longer an option: it shut down on 6 August 2026, four days after telling customers.
- Moving to Cledara takes days. Connect accounting and HR first, then set owners and renewal dates, then switch on Cledara Agent jobs.
Why teams are looking for a Torii replacement
On 12 October 2026, Freshworks announced that it had signed a definitive agreement to acquire Torii, to extend Freshservice, its IT service management product, into software management and AI spend governance. Freshworks expects the deal to close in its fourth fiscal quarter of 2026, subject to customary closing conditions.
Torii's own announcement says the two remain separate, independent companies until closing and that nothing changes for customers today. Instances, integrations, workflows, support contacts and renewal terms stay where they are, and Torii says its roadmap has not changed.
That is a clear message for now. Even so, acquisitions often change roadmaps, pricing and support priorities over time. If your Torii contract renews in the next year, it is sensible to review your options and get continuity terms in writing.
Tip: put these questions to your Torii contact before you renew, and keep the answers with the contract.
- Will Torii stay available as its own product, and on what terms?
- Will your price and renewal terms be held for the next renewal, in writing?
- Will your support contacts and service levels stay the same?
- Which integrations and features are committed for the length of your contract?
- How do you export your app inventory, contracts, owners and usage history, and in what format?
Torii alternatives compared
Here are nine Torii alternatives by who each is built for. Most are IT-led; Cledara is built for finance teams.
Based on each vendor's own website and announcements, checked 3 November 2026.
1. Cledara: the Torii alternative built for finance
Cledara is the closest fit if finance answers for software spend. It manages every software subscription and does the admin around it: invoices, renewals, approvals, new starters and leavers. You approve, Cledara does the rest.
One list of every tool, with owners and renewals
Cledara builds one list of every tool from every payment made with Cledara, plus the tools you add, with the owner, users, cost, renewal date and card for each. Every subscription has a named owner, and alerts go to that owner and finance before it renews, with Slack notifications you can act on in Slack.
New tools go through one approval flow that routes to the manager, finance or IT based on rules you set, and each approved tool gets its own virtual card with its own limit. Cancelling is one click: freeze the card and the vendor cannot charge it again.
Invoices that reconcile themselves
Invoices arrive three ways: email capture from Gmail or Microsoft 365 (Premium and Pro), a forwarding inbox, and Cledara Agent for invoices that are never emailed. Each payment syncs with its invoice to Xero, QuickBooks Online, NetSuite (from Premium) or Tripletex. Map each tool to its expense account, department and cost centre once, and every payment for it is coded the same way.
Cledara Agent does the admin inside each tool
Cledara Agent signs in to the SaaS and AI tools you connect and does the admin inside them, in 8,000+ tools, whether or not they have an integration. It collects invoices from each vendor's billing page overnight, sets up new joiners before day one, takes back paid seats nobody uses and removes leavers from every tool they had, not just the ones you remember.
HR integrations such as BambooHR, HiBob, Personio and Workday tell Cledara when someone joins or leaves. You approve once and the agent does the rest; routine work such as removing leavers can run on a standing approval.
This matters when you compare Torii alternatives, because joiner and leaver workflows often stop where integrations stop. Cledara Agent is the only SaaS management agent verified by Cloudflare, sign-in details are stored encrypted in a separate vault per company, and AI never sees passwords.
Usage, shadow IT and AI spend
The Cledara Engage browser extension shows which tools the team actually uses, including ones nobody approved, and who last used each one. It collects only the username and a timestamp, never browsing history. Cledara also connects to AI providers such as OpenAI, Anthropic and Cursor, tracks usage every day against the budget you set, and warns finance and the subscription owner before spend runs over.
Best for: finance-led companies of roughly 50 to 1,000 people that want subscriptions, renewals, invoices, joiners and leavers handled in one place. Cledara customers save 23% on software spend on average and get 30+ hours a month back. Cledara is rated 4.6 out of 5 on G2 from 251 reviews and is a G2 Regional Leader Mid-Market Europe and High Performer Mid-Market for Fall 2026. Plans are on the pricing page.
Other Torii alternatives worth a look
The rest of the market splits into IT-led platforms, identity governance tools and negotiation services. Each of these Torii alternatives is good at something specific.
2. Zylo
Zylo describes itself as an enterprise SaaS spend management platform for IT, procurement and FinOps leaders. It finds SaaS and AI spend, reclaims unused licences, ranks renewals by savings potential and offers a SaaS Negotiator service. Zylo says Gartner named it a Leader in the Magic Quadrant for SaaS Management Platforms in 2024, 2025 and 2026. Best for large enterprises with procurement teams.
3. Zluri
Zluri now markets itself as an identity security platform. It pairs identity governance (access requests, access reviews, segregation of duties) with SaaS management: 300+ direct API integrations, renewal alerts and licences reclaimed or downgraded on usage thresholds. Infotech, formerly Info-Tech Research Group, completed its acquisition of Zluri on 14 October 2026. Best for security-led teams; see our Zluri alternatives guide.
4. BetterCloud
BetterCloud calls itself an AI governance and SaaS management platform for IT teams. It is known for workflow automation, with onboarding, role change and offboarding workflows across connected apps, and it finds unused licences and overlapping subscriptions. CoreStack announced its acquisition of BetterCloud on 31 March 2026. Best for IT teams that want to automate user lifecycle work across many apps.
5. Lumos
Lumos describes itself as an autonomous identity platform. Its focus is access requests that expire on their own, automated access reviews and AI agents that govern access, and it also offers spend optimisation such as reclaiming unused licences. Best for IT and security teams that want least-privilege access and audit readiness.
6. CloudEagle
CloudEagle positions itself as one command centre for SaaS, AI and identity governance. It covers licence harvesting, contract management, access reviews, onboarding and offboarding, plus procurement workflows, price benchmarking and 90-day renewal alerts. Best for IT and procurement teams that want governance and buying in one tool.
7. Vendr
Vendr, part of Vertice since Vertice acquired it in June 2026, focuses on software pricing and negotiation. It offers free price checks on quotes, pricing benchmarks, contract reviews and AI agents that negotiate with suppliers under human oversight, and says 5,000+ finance and procurement teams use it. Best for teams whose main need is paying less at purchase and renewal.
8. Freshservice SaaS management
Freshservice, the IT service management product from Freshworks, already includes SaaS management: app discovery, usage, licences, spend and renewals inside the service desk. Freshworks plans to extend it with Torii once the deal closes. Best for IT teams already on Freshservice.
9. 1Password SaaS Manager
1Password SaaS Manager ties app discovery to sign-ins and credentials, so IT can find unmanaged apps and AI tools, revoke access and run provisioning, offboarding and access review workflows. It also tracks AI token spend. Best for IT teams that already use 1Password.
Note: Productiv is no longer an option. It told customers on 2 August 2026 that it would shut down on 6 August; access ended and customer data was deleted. If you were weighing it up, see our guide to replacing Productiv.
Torii vs Cledara: where they differ
Torii is built for IT. It discovers SaaS, AI and desktop apps, automates joiner, mover and leaver workflows, runs access reviews, reclaims licences based on live usage and tracks AI spend by user and model. Torii says Gartner named it a Leader in the July 2026 Magic Quadrant for SaaS Management Platforms.
Cledara is built for finance, with IT on board. The payment, the renewal, the invoice and the accounting code sit with each subscription, and Cledara Agent handles the admin inside tools that have no integration. For the full side-by-side, read Torii vs Cledara.
How to switch from Torii to Cledara
Switching from Torii to Cledara takes days, not months, and every plan includes set-up help. Run both side by side until your Torii term ends.
- Check your Torii contract. Note the renewal date and notice period. Give yourself 90 days if you can: Cledara's renewal benchmarks show companies that start negotiating 90 days out average 49% savings, against 19% when they start 30 to 90 days out.
- Export your data from Torii. Ask for your app inventory, contracts, renewal dates, owners and usage history as CSV files. Usage history is the hardest thing to rebuild, so export it first.
- Connect accounting and HR. Connect Xero, QuickBooks Online, NetSuite or Tripletex, then your HR system. Cledara works with 36 HR systems, including BambooHR, HiBob, Personio, Workday and Gusto.
- Build the list. Cledara builds one list from every payment made with Cledara, plus the tools you add from your Torii export. Add Cledara Engage to see who uses each tool.
- Set owners, renewal dates and coding. Give every subscription a named owner and renewal date so alerts reach the owner and finance before each renewal. Map each tool to its expense account, department and cost centre once.
- Move payments to their own cards. Give each subscription its own virtual card as it next bills. Cledara data shows 90% of software transactions are monthly subscriptions, so most tools move within a month.
- Switch on Cledara Agent jobs. Turn on Invoice Collection and User Management, and set standing approvals for routine work such as removing leavers. The agent starts working within minutes.
- Retire Torii workflows one at a time. Check that each joiner, leaver and renewal workflow now runs in Cledara, then give notice on Torii before its renewal date.
Worked example: across Cledara's customers, the median company paid for 32 software tools between October 2025 and September 2026 (middle half: 16 to 48). For a 32-tool company, an illustrative plan is: accounting, HR and the Torii export connected on day one; owners, renewal dates and coding set over the next two days; Cledara Agent jobs on within the first week; most subscriptions on their own cards within a month.
Important: keep Torii's offboarding workflows running until User Management is switched on in Cledara, so no leaver keeps access in between.
How to choose between Torii alternatives
Start with the team that will run the tool every day. If that is IT or security, an IT-led platform may suit you; if finance is chasing renewals, owners and invoices, choose a tool built for finance. Use this checklist on every shortlist:
- ✓ Who owns software spend: finance, IT or procurement?
- ✓ Does the tool pay for software, or only report on it?
- ✓ Are invoices matched to payments and synced to your accounting system with the right codes?
- ✓ Does joiner and leaver work happen inside tools that have no integration?
- ✓ Does it track AI usage against a budget and warn you before spend runs over?
- ✓ Can you export all your data at any time, in a standard format?
- ✓ Are prices published, and are continuity terms written into the contract?
Key takeaway: if finance answers for software, Cledara is the Torii replacement built for that job. Our guide to the best SaaS management platform for a 200-person company goes deeper on shortlisting.
The practical next step
Pull two things today: your Torii renewal date and last quarter's software payments. For each payment, check who approved it, who owns it and whether its invoice is in your accounting system with the right code. If finance is filling the gaps, that is the work Cledara takes off your list.
Bring your Torii export to a Cledara demo and see your own tools in one list, with owners, renewal dates and the admin Cledara Agent would handle. To see how leavers are removed from every tool, read how to automate employee offboarding across SaaS apps.
